[Document Vault · beta]

Physical and digital documents, held securely and released on your instructions

Encrypted cold storage, opened only with your keys
BYOK: bring your own keysYubiKey or your own physical device

Upload documents or mail us the paper, and we keep the originals in a locked cabinet. On the dates and conditions you set, we mail printed copies or release them digitally to the third parties you name. Your instructions are recorded and followed to the letter, with a receipt for every release.

Documents you upload or mail in go into your Document Vault: the original in a locked cabinet and a sealed copy in encrypted cold storage. Your instructions decide who can see each document and when it goes out, as a paper copy in the mail or a digital release, and each delivery is checked and comes back on a receipt.USPS · FEDEX · UPSLOCKED · SEALED · LOGGEDYour instructionswho sees it, and when it goes outWho can see itYoualwaysYour executorview, downloadCPA's agenttext · to Apr 15Release planIF-THENIFdeath certificate + executor OKTHENMailed on paper3 heirs · signedReleased onlineexecutor · openedRelease receipttracking · signatures · photosAGENTS SEE ONLY WHAT YOU GRANTConfirm the Rivera Trust plan?proposed by your agentApproveHold
[What the vault does]

Keep it, share it, release it, prove it

Six services, with or without a mailbox. You give the instructions; staff at the facility handle the paper.

Keep the original

Paper originals go in a locked cabinet at the Manhattan Beach facility, logged in and out. Ask for one back any time; it goes only to your verified return address.

Encrypted cold storage

Every upload and every scanned page is sealed in write-once, encrypted cold storage (Amazon S3 Glacier) in the vault's own AWS account. Find any document by the words on the page.

Permissions per document

Name who can see each document, people or agents: view, text only or download, until a date you pick. You approve each grant with your security key, and every view is logged.

Timed release

On the date you set, digital access opens or copies go out by Certified Mail or FedEx to the people you named.

If-then release

Release when your check-ins stop, or when a death certificate arrives and your executor confirms. Chain one step after another.

A receipt for every release

Tracking, return receipts, signatures, photos of what was mailed and the time each copy was opened, in one record.

[How it works]

Upload it or mail it in. We hold it until your instructions say otherwise.

Your documents arrive as files or as paper. You choose what is vaulted, who sees it and what happens to it, and every step that moves a document waits for you.

  1. 1
    You
Upload it or mail it in

Upload a file, mail the paper to us, or pick mail that arrived at your mailbox, and choose Vault.

  2. 2
    We
    Seal and lock

Paper is scanned. Every file is sealed in encrypted cold storage; originals go in a locked cabinet.

  3. 3
    You
    Choose who sees it

Grant access per document to people and agents, with an end date if you want one.

  4. 4
    You
    Set the release

A date, stopped check-ins, or a death certificate plus your executor's word, confirmed with your security key. Change or cancel it until it runs.

  5. 5
    We
    Release and prove it

Copies go out by Certified Mail or FedEx, digital access opens, and the receipt comes back to you.

[Release workflows]

Time and if-then releases, with a receipt for each step

Set what goes out, to whom, how and when. A plan runs only on your trigger, it is checked before it runs, and you can change or cancel it until then.

A release plan. If a date arrives, check-ins stop, or a death certificate arrives and your executor confirms, the release is checked first: the documents are verified, a waiting period runs, and you can cancel until then. Then copies go to three beneficiaries by Certified Mail with return receipt and to the executor by FedEx with a signature, digital access opens for your attorney and your CPA's agent, and a release receipt comes back to you and your attorney.IFCHECKED FIRSTTHENOn a dateMar 1, 2027 · 9:00 amIf check-ins stop30 days, after 3 remindersDeath certificatearrives + executor confirmsChecked firstbefore it runsdocuments verified7-day waiting periodcancel any time beforeCertified + receipt3 beneficiaries · copiesFedEx, signatureexecutor · printed packetDigital accessattorney · CPA's agentRelease receiptto you and your attorneyCertified · 3 of 3 deliveredFedEx · signed by J. [Who uses it]

Firms and families that keep papers for other people

Estate attorneys and planners

Hold a client's trust copy, letters to heirs and the executor packet, then release them on a confirmed death with a receipt for each beneficiary.

Trustees and family offices

Keep every institution's letters in one place and give co-trustees, advisers and the CPA only the access each one needs.

Property managers

Leases, notices and their mailing proof, filed per unit and ready to hand to your attorney.

CPAs and tax practices

Clients mail K-1s, 1099s and agency letters to one address. Your agent reads the text by client and year until the filing date.

Business continuity

Vault the continuity letter and key contracts. If the founder's check-ins stop, copies go to the co-founder and counsel.

Records from many offices

Certified copies ordered from county and state offices arrive at one address, get scanned and checked, and are shared with whoever needs them.

[Pricing]

With or without a mailbox

The vault works on its own or alongside a $15/mo mailbox address. Its fee is shown, and approved by you, before it is turned on. Releases mail at the same prices as any outbound letter.

What a release costs

  • Certified Mail: $20.00 for a one-page letter
  • Certified Mail with return receipt: $24.00
  • FedEx Ground: $14.89–$17.91, signature from $8.00
  • Digital access: included with the vault
  • Exact price shown before you confirm the plan

Offered only where it is permitted. The vault stores, shares and releases business, professional and personal records. It is not an escrow: it never holds deeds, titles, signed sale or loan papers, or money to hand to another party. It does not take original wills, cash, checks or valuables. Originals go back only to your verified return address. The rules are in the Document Vault Terms and, for mail received at a mailbox, Section 22 of the Mailbox Rental Terms.

[FAQ]

Questions people ask before they vault anything

What is the Document Vault?

A secure vault for physical and digital documents. You upload them or mail in the paper; we seal each one in encrypted cold storage and keep originals in a locked cabinet. You decide who can see each document and when copies, access or the original are released, and you approve every instruction with your security key.

Do I need a mailbox?

No. Uploads, and paper you mail to us under your vault's label, need no mailbox and no form. You need a mailbox ($15/mo) only for mail that others send to you by name, such as K-1s or county records; it takes PS Form 1583 and a short online notary session. Without one, mail with your name on it goes back unopened.

How do documents get into the vault?

Upload them, or mail the paper to us under your vault's label, which names mailbox.bot Document Vault and your vault's reference, not you. With a mailbox, you can also pick mail that already arrived and choose Vault. Staff open the envelope, scan every page and file the original. The document is in the vault once it shows in your dashboard.

How is it kept secure?

Every document is sealed in write-once, encrypted cold storage (Amazon S3 Glacier) in the vault's own AWS account, apart from the rest of mailbox.bot, and firms can bring their own key (BYOK). You sign in and approve every instruction with a security key only you control: a hardware key such as a YubiKey, or a passkey on your phone or laptop (Face ID, Touch ID or Windows Hello). It works only on mailbox.bot, so a look-alike site gets nothing. Paper originals sit in a locked cabinet, logged in and out. Each vault has its own encryption key, so deleting a vault destroys its key, and agent keys work only in the vaults you give them. Keep two security keys, one as a backup; if you lose both, you get back in only in person with ID or by a notarized request.

Who can see my documents?

Only you and the people and agents you name, document by document, until the date you choose. Agents read the text only, never images. Every view, download and release is logged.

Can my AI agent use it?

Yes, within what you allow. An agent can put documents in and propose who gets what and when, but nothing it proposes runs until you approve it with your security key. It reads the text only, never images, and only in the vaults you give it.

Can a release happen without me?

Only the way you set it: on a date, if your check-ins stop, or when a death certificate or court order arrives and the person you named confirms. You can change or cancel a plan until it runs, and nobody else can start one.

Can you hold an original will?

No. Vault a scan or a copy, and keep the original with you or your attorney. The law gives whoever holds an original will its own duties after a death.

Is this an escrow?

No. The vault never holds deeds, titles, signed sale or loan papers, or money to hand to another party when something happens. For a closing, your escrow holder decides; we can print and mail its papers.

Where can an original go?

Back to you, at your verified return address (with a mailbox, the address on your Form 1583). Everyone else receives a printed copy or digital access.

What does it cost?

The vault fee is shown, and approved by you, before the vault is turned on; a mailbox is optional, at $15/mo. Each release mails at outbound prices: Certified Mail $20.00 and Certified with return receipt $24.00 for a one-page letter.

Is it available now?

The vault is in beta and is turned on account by account. Create an account, then ask us to turn on the vault. We confirm the enrollment and the fee in writing before anything is held.
